Our Client specializes in production of the highest-quality dietary supplements based on uniquely designed formulas. It is a privately owned start-up.  

THE POSITION - COO

Scope:
 

Along with its rapid development, company’ aims to bring in the top-notch business standards within value chain management. The company has decided to introduce the role of Chief Operations Officer with a mission to develop strategic approach and business processes pertaining to operations and supply chain. 

COO will be responsible for end-to-end supply chain operations including procurement, R&D, logistics, relationship management with third-party manufacturing and logistics partners, implementation and integration of information systems and processes as well for measuring and reporting right set of operational KPIs. 

Key Responsibilities and objectives

 

General/Strategic

  • Develop and implement an operational strategy leading to definite plans and actions that build and sustainably drive the profitable growth of the business in Poland as well as in the international markets. 

  • Day-to-day operational management and leadership of the business dynamics and the organization, drive continuous optimization of operational excellence (manufacturing and logistics) leading to lowest cost. 

  • Build further the capability of the organization, constantly working on processes, structures and staffing, keeping the cost under control but at the same time setting the base for growth. Develop the company as a solid base for further buy and build. 

  • Establish and maintain measurable performance metrics for all levels of operational areas.   

  • Hire, develop and drive engagement and motivation of entire team. 

Procurement & Supply Chain 

  • Establish and manage the company’s procurement policy and processes. 

  • Monitor the full supply chain related to production ingredients and raw materials and manage corporate S&OP process.  

  • Conduct research to ascertain the best products in terms of value, delivery schedules and quality, provide the planned gross margin, sustain competitive product mix and attractive retail prices.  

  • Source new suppliers, establish relationships with vendors, negotiate purchasing contracts, solve order grievances and discrepancies, and manage the purchasing process from the request for proposal stage through delivery.  

  • Monitor the quality of delivered products.

R&D 

  • Strategic oversight of the R&D department, delivery of NPD projects, modifications and upkeep of existing products.  

  • Champion sourcing, manufacturing and quality initiatives through product recipe or formulation modification to best drive safety, quality and capacity. 

  • Ensure projects are fully scoped, resource requirements are identified, and business cases are established for all NPD projects. 

  • Secure that R&D and product registration processes meet regulatory compliance requirements adhering to all operating markets (including FDA regulations).  

  • Provide technical support to all projects and R&D staff. 

Third Party Manufacturing  

  • Formulate and recommend third-party manufacturing policies and programs that guide the organization in maintaining and improving its competitive position and the profitability of the operations.  

  • Manage and evaluate contract manufacturing suitability and capability for Third-Party Manufacturing (3PM) network to ensure quality and on-time supply of products and technologies.  

  • Constant optimization of the contract manufacturing footprint, diversification of contractors base and upscaling HLC’s production capacity along with the development of international markets . 

  • Monitor performance, compliance of social standards, SHEQ, and stock taking in line with the company requirements. 

  • Ensure effective systems are implemented to protect HLC’s technologies, business information and supplied materials. 

Logistics  

  • Create robust logistic road map for D2C and B2B (marketplaces & retail) channels for existing and expanding markets.  

  • Design process and tools to ensure outstanding customer service level, effective demand forecasting model and routines, customer service system, inventory management and establishing single point of contact for customers and consumers. 

  • Manage products flow to ensure inventory is maintained at the optimum level to support on time customer deliveries while keeping inventory holdings at the appropriate levels.   

  • Hold responsibility for order fulfilment process with special attention to last mile delivery and its impact on customer experience.  

  • Effective 3PL’s relationship management. 

  • Daily control of customer service systems and efficiency of external logistic providers. 

  • Close cooperation with commercial structures to ensure realization of local delivery plans in agreed time frame and in line or below agreed logistic cost’s structure. 

  • Prepare and monitoring product warranty process on daily basis. 

  • Control product logistic costs and implement costs saving solutions if necessary. 

The team

The team reporting directly to COO will consist of over 20 people: 

  • Supply chain - 6 people in total 

  • Manager + 3 Buyers + Logistics Specialist + Supply Quality Control 

  • R&D - 13 people in total 

  • back office (Manager + 4 people), supplements (3 people + part time advisors), cosmetics (2 people), 

  • 3 Technologists 

  • Product Legal Compliance - 1-2 person.
